Guides to assist in using archives of an organisation
Record Groups - Grey Binders - left side of image
Record groups are archives collections created by a single government
department. Examples: Army Department (AD), Immigration (Im), Justice
(J), Marine (M).
Series Lists
A descriptive listing of the archives held for each record group. The
archives within a record group are divided into "series". Example:
Immigration (Im) Series 15 refers to lists of assisted immigrants.
GAIMS - Government Archives Integrated Management System
Coloured binders - red, green and blue. Uses keywords. All archives
transferred to Archives NZ after 1987 are recorded in GAIMS.
Red Binders
Index to Agencies (or organisations)
Search by name, place, subject or agency. Each entry has a four-letter
"agency" code. Example: NZ Railways - AAEB. Use this code to access
the green binders.
Green Binders
Agency Documentation Schedules
Arranged in strict alphabetical order. In addition to a listing of
records held, the information provided for each agency can include
short historical notes, relevant legislation, the ministers
responsible over time, "predecessor" and "successor" agencies and
bibliographic references. Records are placed in "series" and each
series is assigned a number. For a more detailed listing this number
is required to access the blue binders.

Blue Binders
Series Documentation Schedules
Arranged in numerical order. This provides a list of items and
information about any restrictions on access. The item references can
be ordered in the usual manner.
Unserialised Accessions
These are archives that have not been placed in "series" and are
identified by having a "W" before the series number. Information is
stored in the grey binders to the right of the coloured binders.

ELMS - Electronic List Management System
A point and click "keyword" search system. It mostly contains recent
accessions which are referenced using GAIMS and will in future include
all the information contained in the binders.
